How does PGL support guests with additional needs?

We want every guest to enjoy their PGL experience. If anyone in your group has additional requirements, we’ll work with you to understand their needs and agree how we can best support them.  

Once your booking is confirmed, you’ll receive a link to our SEND & Dietary Needs form – please complete this as early as possible so we can assess access, activity participation, safety and any resources required. You will automatically receive a link to this form once your booking is confirmed. Should you need a replacement link, it can be requested from your PGL contact). 

Why do you need advance notice of additional needs?

Proper planning ensures the right support is in place. We can only take responsibility for arrangements that have been discussed and agreed with us in advance. The earlier we know, the better we can prepare. 

Do you provide accessible transport and accommodation?

  • Wheelchair-accessible coaches must be booked in advance. Additional costs may apply. 
  • Centres have a range of accessible rooms. Requests should be made as early as possible. 
  • Equipment needed for participation in PGL activities can be provided if agreed in advance. For day-to-day living needs beyond standard provision, we may ask you to hire locally and will cover reasonable costs where agreed.

Do you provide personal carers?

PGL does not provide personal carers. However, we can consider offering an extra place at a discounted rate for a carer you bring with you. 

What if a child requires medication?

You will be responsible for any medication that a child needs during the stay. PGL can however help provide storage for this medication – for example, if it requires refrigeration 

How does PGL manage behavioural difficulties?

PGL recognises that children and young people display a wide range of behaviours, most of which do not cause concern. However, all participants are expected to follow our Code of Conduct, and we reserve the right to take action, including exclusion, if behaviour is unacceptable. 

When assessing whether a child or young person can safely participate in a PGL experience, it’s important to remember that they will be in a residential setting, sharing accommodation with others, and taking part in activities that require following rules and safety procedures. Behaviour must not compromise the health, safety, or enjoyment of themselves, other guests, or PGL colleagues. 

If necessary, we may request additional information to ensure we can provide a safe and supportive environment. We ask that you provide this information fully and openly, as it helps us plan appropriate supervision. In some cases, we may consider increasing the additional free/discounted adult places to maintain safety and ensure a positive experience for all.

Can children with SEND take part in all activities?

We encourage participation for all children. Some activities may require adaptations to meet individual needs. Once we have your SEND information, we will plan how each child can take part safely and enjoyably. 

How do you protect the information we provide for the SEND form?

All information on SEND & Dietary Needs forms is stored securely and handled in line with GDPR. We use it only to plan safe, inclusive participation and do not share it outside of necessary PGL teams. 

Religious & cultural inclusivity 

How can PGL support religious or cultural requirements?

We want every guest to feel included and respected. If a participant has religious or cultural needs that require adjustments to their day-to-day experience or activities, please discuss these with your Customer Service (CS) Advisor. They will liaise with the Group Experience (GE) team at the centre to agree suitable arrangements. 

Examples of support include: 

  • Opting out of certain activities 
  • Time or space for prayer 
  • Special dress requirements (where safe and legal locally) 

Note: Some adjustments, like attending local religious services (dependent on availability in the area) or trips outside of the UK, may involve additional costs or local legal considerations. These should be planned with your Customer Service Advisor. Please note, individuals travelling to countries outside the UK must adhere to local law e.g. burkas are not permitted under French law.
