How to make a booking
Making a booking with PGL couldn’t be simpler and our friendly Customer Service Team is on hand to help and give advice every step of the way, from your initial enquiry until you return home from your trip.

Your booking arrangements will be looked after personally by one of our experienced Customer Service team, who will be on hand to offer any assistance needed.
No-obligation provisional booking
We will reserve the space for 28 days (or to the date shown on your provisional booking document). You will also receive a separate email with a link to set up a MyPGL account. My PGL is a secure, password-protected section of our website where you can view your booking information and download useful promotional material.
How to confirm your booking
The balance of your account is payable not later than 12 weeks before camp commencement. If payment is not made by the due date, we reserve the right to advise you of the cancellation of your camp booking and make a cancellation charge at the appropriate rate. Full payment must accompany bookings made within 12 weeks of departure.
Arranging travel - Can PGL arrange travel for us?
Travel is not included in the basic cost of your chosen course if you are travelling to a centre in the UK, however, we can provide a quotation, and many groups choose to arrange their travel through us.
Booking terms and conditions
Please take time to read the following terms and conditions carefully. They are the basis of the contract between yourself and PGL.
A contract will exist between us when we have taken your booking and required payment. You will then automatically receive a confirmation/invoice detailing exactly what has been booked. If you think anything is incorrect please contact us straight away. All correspondence will be with the person named on the confirmation invoice who accepts the following conditions on behalf of all participants. The contract between us is governed by English Law. Any monies paid to an appointed agent will be held by the agent for PGL until they are paid over to PGL.

Payments
Can my school pay PGL through my Local Authority (LA)?
Yes. In many areas it is possible for schools to pay their final account through the LA. It is important, however, that you contact your LA right at the beginning of the booking procedure to confirm that they will accept this method of payment.
What should I do if paying by BACS?

What if I need a purchase order (PO) number on my invoice?
Send your purchase order to: [email protected] prior to the invoice being issued and we will add the number for you.
Recovering VAT (UK trips only)
It is usually possible for most schools and some other groups to reclaim VAT on those elements of the trip for which VAT is chargeable*.
To ensure successful recovery of VAT, please consider the following points:
For schools with a separate Local Authority (LA) funded bank account, please ensure that all payments including first deposits are made directly from this account. This should enable your school to recover VAT from your LA, who in return can recover sums due from HM Revenue and Customs.
If you do not have an LA funded bank account, it is likely all payments will need to be made directly to your LA. Please contact your LA Finance Officer at the earliest opportunity to discuss procedures for recovering VAT.
Independent schools, academies and other groups registered for VAT purposes should be able to recover the VAT shown on your invoice through the normal channels from HM Revenue and Customs.
*VAT is applicable on UK trips only.
Overseas trips fall under the EU Tour Operators’ Margin Scheme (TOMS) and we are therefore unable to show the VAT as a separate item. VAT is not reclaimable.
Is my money safe with PGL?
We are a member of the Association of British Travel Agents (ABTA) which means you benefit from ABTA’s assistance and Code of Conduct. Some of the travel products and services we sell are protected in case of the financial failure of the travel company. We are also ATOL holders for any booking made with PGL Air Travel Ltd. Please ask us about the protection that applies to your booking.
Can childcare vouchers be used for payment?
As a company we are unable to accept childcare vouchers as payment for our school travel programme as we are not ‘in loco parentis’; however, as a school you may be able to accept them as payment. To find out if you can please contact your Local Authority.
Insurance
Insurance
PGL Travel Insurance (provided via AVIVA) is included as standard on PGL trips, unless otherwise stated.
Our insurance has been tailor-made to match the activities provided by PGL and to provide additional cover and protection for school trips and residential groups.
Arranging your own travel insurance
There are many different travel insurance policies available, and you are welcome to make your own arrangements. We would, however, ask that you check the cover carefully to ensure that it meets your needs and provide us with details of your insurer via the Insurance Indemnity Form. You can request this form from your Customer Service Advisor or Tour Organiser for French trips.
Insurance policy documents
As with any insurance, it is important that you read the policy document to check it is suitable for all members of your group. We recommend you include links to the insurance documents in any letters to parents or pre-booking presentations, so that parents, other teachers and Party Leaders travelling can also ensure the cover is correct for their child and themselves.

Cancellations
Cancellations and curtailment
If a guest must cancel due to illness (e.g. sickness, diarrhoea, flu) PGL will retain monies in accordance with our cancellation policy. The cost for any cancellation fees can usually be claimed back, minus any policy excess amount. If someone in your group falls ill before travel, please let us know as soon as possible, providing the guest’s name. Once the trip has taken place, we will send the paperwork you’ll need to support your claim and details on how to initiate your claim via the insurer.
CURTAILMENT
If a guest needs to leave the trip early for illness or another reason covered by the insurance, the unused part of the trip can also be claimed back. Let us know as soon as possible, with the guest’s name and the date/time they left. We can then work out the amount that can be claimed and send over the paperwork to help with the insurance process.
HELPFUL TIP
Whether it’s a cancellation or curtailment, we strongly recommend collecting any evidence that supports the claim (like a doctor’s note), as insurers will usually ask for this.
